Room-Only Bookings
Deposit Requirements
For all room-only and room-with-breakfast rates, a 50% deposit payment is required at the time of booking. This deposit is non-refundable but can be used towards a future reservation, subject to availability, within one year from the original booking date. The remaining balance will be charged on check-in.
Cancellation Policy
If you need to cancel your reservation, the 50% deposit can be applied toward a future stay, provided the new booking is made within one year of the original reservation date.
If the reservation is canceled within 7 days prior to check-in, the deposit will be forfeited, and no credit will be issued.
If the reservation is canceled within 48 hours of check-in, the full amount of the booking will be charged, and no credit will be issued.
No-shows are treated as a cancellation within 48 hours of check-in: the full amount of the booking will be charged, and no credit will be issued.
If We Need to Cancel or Change Your Booking
In the rare case that Hide and Seek Resort must cancel, relocate, or materially change a confirmed room-only booking (for example, due to overbooking or a room not being ready), we will offer you, at your choice, either a full refund of amounts paid or an alternative date or comparable room at no additional cost.
Force Majeure
Neither party is liable for failure to perform due to events beyond its reasonable control, including natural disasters, extreme weather, government action, civil unrest, epidemic or pandemic, or infrastructure failure. In such cases we will work with you in good faith to reschedule your stay within 18 months.
Package / All-Inclusive Bookings
Deposit Requirements
For package rates, a 50% deposit is required at the time of booking. The remaining 50% of the package cost is due one week prior to check-in. The 50% deposit is non-refundable but can be applied toward a future stay within one year from the original booking date.

Retreat Guest & Group Trip Reservation and Cancellation Policy
Please review the following terms and conditions carefully. By booking your stay, you agree to the rights and obligations outlined below. These policies are designed to ensure clarity and mutual understanding between Hide and Seek Resort (the Company) and you (the Customer).
Key Definitions
Company: Hide and Seek Resort.
Customer: Guest / Client / Participant.
1. Reservations and Payment Policies
Contract Completion. A booking is confirmed once:
A reservation request has been submitted through our online form;
You receive a reservation confirmation and guest registration form from us; and
The guest registration form is completed and returned to us, which signifies acceptance of these terms and conditions.
Payment Schedule. Reflected on the individual retreat page, and confirmed in writing to you at the time of booking.
Deposit and Refund Policy. All deposits are non-refundable under any circumstances, including, but not limited to, illness, family emergencies, political crises, natural disasters, epidemics, or pandemics.
Deposits can be applied toward another retreat within 12 months of the original booking date (with at least 60 days' notice). Deposits are non-transferable to another person and will expire after 12 months if not used.
Reservation Terms
Availability: Reservations are subject to availability at the time of booking.
Cancellation of Unconfirmed Bookings: Unconfirmed or unpaid reservation requests will be canceled after 7 days, allowing the Company to resell the space.
Future Pricing: For bookings made for the following year, retreat prices and services are as stated on the invoice and may differ from the website due to annual adjustments.
Special Requests: Additional services such as photography or customized packages must be stated on the registration form.
Minimum Numbers: If a retreat does not reach the minimum participant numbers required to run, the Company will notify registered guests as early as possible and offer, at the guest's choice, a full refund or transfer to another available retreat within 12 months.
Eligibility for Participation
Age Requirement: Guests must be 18 years or older to book independently. Guests under 18 can attend if accompanied by a parent or guardian.
Health and Fitness: By booking, you confirm that you are physically fit to participate in retreat activities. Basic swimming skills and physical fitness are mandatory for surfing and other activities. If in doubt, consult your doctor before booking.
2. Travel and Insurance Requirements
Travel Insurance. Guests are highly recommended to hold international travel insurance that covers trip cancellations, medical emergencies, and COVID-19-related issues. We strongly recommend purchasing a policy with a "Cancel For Any Reason" clause for maximum flexibility. This type of policy must typically be purchased within 2–3 weeks of making your initial deposit.
Travel Documents. Each guest is responsible for obtaining valid travel documents, including passports with at least 6 months' validity. Check entry requirements for your destination.
3. Pricing and Services
Retreat prices are listed on our website and are valid at the time of booking. Prices are subject to change based on external factors, such as currency fluctuations, governmental regulations, or third-party fees.
Essential changes to the retreat package due to force majeure or unforeseen circumstances will be communicated promptly.
4. Force Majeure

5. Disclaimer
Risk and Responsibility. Participation in activities, including surfing, hiking, or boating, involves inherent risks. By booking, you agree to assume full responsibility for, and to indemnify and hold harmless the Company, its owners, staff, and agents from, any claims, injuries, accidents, losses, or health issues that may arise from your participation, except to the extent caused by the Company's gross negligence or willful misconduct. The Company is not liable for:
Delays or cancellations caused by third-party providers (e.g., airlines, transportation services);
Theft, loss, or damage of personal items; or
Unforeseen circumstances such as poor surf conditions, adverse weather, or equipment damage.
Damage to Property. Guests are responsible for any damage caused to resort property or equipment. Repair or replacement fees will be charged accordingly.
6. Media and Data Usage
Photography and Filming. By attending, you consent to being photographed or filmed during your stay. These materials may be used for promotional purposes without prior consent. If you wish to opt out, notify us via email.
Data Protection. Your personal data will be treated confidentially and used only to fulfill your booking or deliver requested services. We will not share your information with third parties unless required to complete your booking.
7. Activity Risks
Ocean and adventure activities involve varying degrees of risk. Guests must:
Carefully assess their health and fitness levels before participation;
Ensure their travel insurance policy covers adventure activities such as surfing, hiking, or volcano boarding; and
Understand that medical costs incurred during retreat activities are the guest's responsibility.
8. Exclusion of Participation
Hide and Seek Resort reserves the right to exclude participants from activities or terminate their stay if they:
Fail to disclose relevant health issues;
Disrupt operations or endanger others; or
Act irresponsibly or fail to follow staff instructions.
In such cases, refunds will not be provided.
9. Governing Law
These terms are governed by the laws of the Republic of Nicaragua. (Confirm preferred dispute-resolution language — mediation, arbitration, or courts of a specific jurisdiction — before publishing.)
10. Ineffectiveness of Individual Provisions
If any provision of these terms is deemed invalid, the remaining provisions will remain in effect.
By completing your booking, you acknowledge that you have read, understood, and agreed to all terms and conditions. Your participation signifies acceptance of all risks and responsibilities.
Retreat Host Agreement & Terms of Use
For businesses, instructors, and organizers booking Hide and Seek Resort to run their own retreat or program.
This section governs the relationship between Hide and Seek Resort (the "Company") and any individual, business, or organization (the "Host") that books resort space, dates, room blocks, or services in order to organize and run its own retreat, workshop, or group program for its own guests or clients ("Host's Guests"). This section is separate from, and in addition to, the Company's Room-Only, Package, and Retreat Guest terms above, which continue to govern the Company's direct relationship with individual guests.
1. Definitions
Company: Hide and Seek Resort, Popoyo, Nicaragua.
Host: The individual, instructor, studio, or business entity contracting with the Company to run a retreat or program using Company facilities.
Host's Guests: Individuals recruited, registered, or brought by the Host to attend the Host's retreat or program.
Program: The retreat, workshop, training, or group event organized by the Host at the Company's property.
2. Booking, Deposit, host cancellation & Payment Schedule
A Program booking is confirmed once the Host has submitted a signed booking request specifying dates, room block, and estimated guest numbers; received written confirmation from the Company; and paid the required deposit.
Deposit schedule, host cancellation is confirmed with each host in their private contract.
Pricing is confirmed in writing at time of booking.
5. Cancellation by the Company & Force Majeure
The Company will make commercially reasonable efforts to honor all confirmed Program bookings. If the Company must cancel or materially alter a confirmed booking due to circumstances within its control, the Company will offer the Host, at the Host's election, either a full refund of amounts paid or rebooking at an alternate date at no additional cost.

6. Host Responsibilities for Host's Guests
The Host is solely responsible for its own Program content, instruction, and the guest relationship, including:
Collecting signed liability waivers and health/fitness disclosures from all Host's Guests prior to arrival, using the Company's standard guest waiver at minimum;
Ensuring Host's Guests are informed of the Company's applicable guest terms, and that all Host's Guests hold adequate travel and medical insurance;
Communicating any special dietary, medical, or accessibility needs of Host's Guests to the Company in advance according to the contract.
Taking sole professional responsibility for any instruction, coaching, or activities led directly by the Host or Host's staff (yoga, surf coaching, workshops, etc.), including holding any required certifications and liability insurance for that instruction.
7. Indemnification
The Host agrees to defend, indemnify, and hold harmless the Company, its owners, staff, and agents from and against any claims, damages, losses, or expenses (including reasonable legal fees) arising out of the Host's Program content or instruction, any act or omission of the Host, its staff, or contractors, or any claim brought by a Host's Guest relating to the Program - except to the extent caused by the Company's gross negligence or willful misconduct.
8. Use of Company Name, Property & Marketing
The Host may reference the Company's name and property in Program marketing only with prior written approval of marketing materials, and must accurately represent the property, amenities, and included services. The Company may, with the Host's consent, feature the Program on its own marketing channels. Neither party may imply an exclusive partnership or franchise relationship without a separate written agreement. Any professional photography or filming by the Host or its guests for commercial use requires prior written consent from the Company.
9. Food & Beverage, Vendors & Staffing
Any outside vendors, instructors, or contractors brought by the Host onto the property (caterers, photographers, additional teachers, etc.) must be disclosed and approved in advance, and must carry their own liability insurance where applicable. Food and beverage minimums, if any, and any corkage or outside-vendor fees will be stated in the booking confirmation.
10. Property Damage
The Host is responsible for any damage to Company property or equipment caused by the Host, its staff, or Host's Guests during the Program, beyond normal wear and tear. Repair or replacement costs will be invoiced to the Host after check-out.
11. Media & Data
By booking, the Host consents to being photographed or filmed by the Company for promotional purposes, and confirms it has or will obtain equivalent consent from its own Host's Guests, or will notify the Company in writing of any guest who has opted out. Personal data collected in connection with the booking will be used only to fulfill the booking and will not be shared with third parties except as required to deliver contracted services.
12. General
This Agreement, together with the written booking confirmation, constitutes the entire agreement between the parties for the Program. If any provision is found invalid, the remaining provisions remain in full effect. This Agreement may only be amended in writing signed by both parties.
